Event Fee

Our event fee grants exclusive access to the entire building (excluding the suites) for the entire day of your event. This includes the kitchen, sitting room, guest bathrooms, banquet room, balcony, lounge, patio, and surrounding grounds, providing a spacious and versatile setting for your celebration. Whether you're hosting an intimate gathering or a grand event, you'll have full use of these areas to create a seamless flow from ceremony to reception.

This fee is mandatory.

Host Fee

Our host fee is based on the number of contracted guests and covers essential services to ensure a seamless and stress-free wedding day. This fee includes full setup and takedown for the ceremony, arrangement of all tables and chairs for the reception, and preparation of the space for the dance. A dedicated team member will be onsite all day to assist with venue-related needs, ensuring everything runs smoothly. Water glasses and carafes are placed on tables before the reception, with staff replenishing them throughout dinner. After dinner, we handle breaking down some tables to create space for the dance floor. Additionally, the fee includes staffing for the full-service bar, ensuring professional and efficient drink service throughout your event.

 

Our staff also takes care of cleaning throughout the evening, including keeping the venue tidy, emptying garbage, and maintaining a clean and welcoming environment. At the end of the night, our team handles post-event venue cleanup, including sweeping, mopping, and taking out the trash, so you can enjoy your celebration without worrying about the mess. However, you are responsible for removing all personal items, decorations, and anything brought in for your event. This ensures a smooth cleanup process while allowing you to focus on celebrating with your guests. 

This fee is mandatory.

Prior Day Rental

If available, you have the option to rent the facility the day or evening before your event for a rehearsal, dinner, or decorating. This provides extra time to finalize details, reduce stress, and enjoy a more relaxed setup. Availability is determined by our calendar 120 days prior to your event, and we will notify you if any changes occur.

Suite Rental

Our suite rental provides exclusive access to the upstairs suites and private bathrooms, offering a comfortable and convenient space to prepare for your big day. Designed to enhance your wedding day experience, the suites allow you to get ready on-site and securely store personal items throughout the day. The bridal suite features multiple prep stations with mirrors, a cozy sitting area, a full-length mirror, a dedicated hanging station, and more—perfect for getting wedding-ready in style. The groom’s suite offers a relaxed atmosphere with a sitting area, TV, poker table, games, and a hanging station for added convenience.

Additionally, suite rentals grant full access to our cozy lounge, providing an extra space to unwind before the celebration begins. You can rent the bridal suite, groom’s suite, or both, depending on your needs.

Tables/Chairs

The rental of tables covers only those needed for reception guest seating, while tables for food service—such as buffet lines, snack stations, dessert displays, and guestbook tables—are provided at no additional cost.

For reception seating, we offer both round and rectangular tables, including our beautiful farmhouse tables, depending on your preference. The quantity of tables will be based on the number of guests attending the reception. Indoor and outdoor chairs are also available, and you will only be charged for the chairs used during the reception. This allows you to customize your setup while keeping costs efficient.

Glassware

As part of our commitment to exceptional service, we provide water glasses and carafes at every table during the reception at no additional charge. Our staff will also refill carafes throughout dinner, ensuring your guests stay refreshed and comfortable throughout the dinner.

A/V System

Our custom JBL sound system (w/wireless microphone) and 1080P HD projector (w/100” screen) are available for use.  We have taken measures to ensure high sound quality, but the number of guests in the expansive banquet area and balcony can have an impact on the acoustics.

Bar

There is a minimum bar sales requirement of $1,000, which applies to total bar sales over the course of the event. If this amount is not met, you will be responsible for covering the difference, which will be included in your final invoice. However, this is not a requirement for the host to personally cover the full $1,000—it is simply a minimum total bar sales amount. Additionally, a 15% gratuity will be applied to the host bar during social hour, ensuring excellent service for you and your guests.

Vendors

5 Family Ranch does not restrict the use of vendors, allowing you the flexibility to choose your own caterer, decorator, DJ, and more. Any additional contracted services or products requested by you will be billed directly to you by the vendor. To help you get started, check out our Trusted Vendors page for a curated list of professionals familiar with our venue. You and your vendors will need to adhere to the following guidelines:

  • Vendors are subject to prior approval from 5 Family Ranch

  • Caterer must carry a current and valid food license

  • DJ will provide their own equipment

  • All vendors must clean up after themselves
