Your final walkthrough, happening about four to six weeks before your big day, is a great chance to check out the venue again, go over the details, and make sure everything feels just right. We’ll talk logistics, finalize plans, and answer any questions so you can walk away feeling confident, excited, and ready to celebrate!
Why the Wedding Venue Final Walkthrough is Important
Your final walkthrough is the perfect time to lock in all the details and ease any last-minute worries. We want you to leave feeling completely confident and ready to enjoy your big day without distractions. But this meeting isn’t just for you—it helps us, too! By going over everything in advance, we can make sure we have the right number of staff, the bar is stocked, and the suites are ready. This way, we can seamlessly execute your vision and stay behind the scenes as much as possible on your wedding day, so you can focus on celebrating.

When to Schedule Your Wedding Venue Final Walkthrough
We schedule your final walkthrough four to six weeks before your wedding. To make the most of this meeting, we highly recommend waiting until after you've received your final RSVP count. Having this number locked in allows us to review your ceremony and reception floor plans more accurately, ensuring the best possible layout for your big day.
What to Bring to Your Wedding Venue Final Walkthrough
Preparation is key! Here’s what you should have ready:

1. A Complete Wedding Day Timeline
Arrival of the first person on-site
Ceremony start time
Dinner service timing
Speeches and toasts
First dances
End-of-night wrap-up
If you’ve rented the venue for the prior day, a setup timeline is helpful but not required.
2. Final RSVP Count
This number will be used for invoicing purposes, so accuracy is crucial.
We recommend setting your RSVP deadline at least six weeks before your wedding to allow time to follow up with non-responders.
Your final count also helps us review and finalize the ceremony and reception layouts, ensuring everything is set up perfectly for your guest count.
3. Review Layouts for Tables and Seating
We use the Prismm website application, which includes accurate dimensions of the key areas of the venue. Couples can use this tool to design their layout in advance. It's important that these layouts are completed before the final walkthrough so we can review them together, clarify any questions, and ensure we fully understand your vision. This also allows us to set up all tables and chairs before you arrive to decorate, making your day as smooth as possible.

4. Completed Questionnaire (sent two months before your wedding)
This should be completed at least 24 hours before your walkthrough.
We like to know all of the vendors who will be involved so we’re aware of who will be onsite that day. It also allows us to recommend them to future couples and tag (or give credit to) them in any content we may post.

What Happens at the Wedding Venue Final Walkthrough?
During your in-person walkthrough at 5 Family Ranch (or virtually if needed), we’ll review all details and ensure everything is perfectly aligned. Here’s what to expect:
1. Venue Tour and Q&A
Walk through the venue and visualize your big day.
Ask any last-minute questions about logistics, setup, or special requests.
2. Review Documents
We’ll go through your timeline, questionnaire, and layouts to confirm all details.
This is your chance to make any final adjustments.
3. Bar & Beverage Discussion
Bar service tends to require the most clarification.
If financial contributors cannot attend, ensure you understand their budget and preferences in advance.
